You share personal data with us when you contact us directly, or when we contact you in the context of our services. We handle these data with care. In this statement, you can read how we deal with your data and your privacy.

1. Who are we?
Sales In Motion is a company that generates business-to-business leads for companies and strengthens their sales activities.
2. What are personal data and what does “processing” mean?
Personal data are any data that can be linked to you. You share personal data with us when you are our client or when you contact us for another reason. This may include your name, telephone number, email address, and the IP address of your computer. These are data that can be traced back to you as a person.
If you are self-employed or operate as a sole trader, general partnership, or professional partnership, those details are also personal data because they can be directly traced back to you.
Processing is a legal concept with a broad meaning. It includes collecting, recording, organising, storing, updating, changing, requesting, consulting, using, forwarding, distributing, making available, combining, linking, blocking, deleting, and destroying data.
3. Which personal data does Sales In Motion use?
Sales In Motion uses various categories of data.
Data for the request and performance of our services and products
When requesting services from Sales In Motion, you provide us with data. We record these data.
They may include your name, address, city, email address, and telephone number.
Data when you contact Sales In Motion
We may also record data when you contact Sales In Motion, for example by telephone, through our
website, or via social media.
If you contact us through social media, there is a possibility that, in addition to the information you share yourself, you also unintentionally share other data with us. We may then receive, for example, your name, profile and interests. The data shared depend on the preferences you have set yourself. If you want more information about which data we receive and how to change your settings, please consult the privacy policy of the relevant social media provider.
4. How do we obtain your data?
Sales In Motion can obtain your personal data in various ways. In most cases, we receive data directly from you because you provide them to us yourself, for example when you request information through our website or wish to use our services.
We may also use data from public sources. Information about companies and their representatives may be obtained from the Chamber of Commerce, trade information agencies, or the insolvency register. In the context of customer or supplier acceptance, we may also use public information available on the internet.
We use the lead generation service of Leadinfo B.V., Rotterdam, the Netherlands. This tool recognises business visits to our website based on IP addresses and shows us publicly available information, such as company names or addresses. In addition, Leadinfo places two first-party cookies to evaluate user behaviour on our website and processes domains from form inputs (for example “Leadinfo.com”) in order to correlate IP addresses with companies and improve its services. More information is available at www.leadinfo.com. On this page you can opt out. After opting out, your data will no longer be recorded by Leadinfo.
5. Why do we use personal data?
5.1 General
Sales In Motion can only perform its services properly if it can request and record personal data.
This is necessary to provide targeted information about our products and services, to enter into
and perform agreements, to prevent fraud, to comply with legal obligations, to conduct statistical
research into website and online service usage, and to improve our services.
5.2 To provide our services
Sales In Motion needs personal data for proper performance of its services. With your personal
data, we can, for example:
- assess whether you can become our client;
- assess your request or change relating to an insurance policy or other service;
- contact you or write to a counterparty on your behalf;
- record your details correctly in our administration and update them when changes occur.
The legal basis for processing your data in these cases is the agreement we enter into with you.
5.3 Marketing
We like to keep our clients informed about our solutions, for example through newsletters, email,
our website, and personalised advertisements. For this purpose, we use personal data. Your
personal data may be used for our marketing activities. Sales In Motion maintains a central
customer administration. Data we have received directly may be supplemented with public-source
information.
In doing so, Sales In Motion takes your preferences into account. We consider it important to send information that is relevant to you. For that purpose, we collect preference and behaviour data at individual level through our commercial emails and newsletters, such as open and click behaviour. If you do not wish to receive commercial information from Sales In Motion, that is of course possible. Under “your rights” below, you can read how to unsubscribe from commercial email and newsletters.
The legal basis for processing data for these purposes is the legitimate interest of Sales In Motion in maintaining and growing its customer base.
5.4 Telephone calls
Telephone calls may be recorded and retained by Sales In Motion for purposes including the
following: to properly document verbal agreements and provide proof of them where necessary, and
to evaluate or improve the quality of our services or for training, coaching, and assessment
purposes.
The legal basis for collecting these data is, depending on the case, either the agreement or the legitimate interest of Sales In Motion in safeguarding and improving service quality.
5.5 Statistical research and service improvement
We also use data for research, product improvement, and improvement of our services. We do so by
combining and analysing data. These analyses help us develop new ideas and better solutions. For
example, we can:
- solve the cause of complaints, improve pages and forms on our websites, and speed up processes;
- develop new services and improve existing services.
When analysing data, we only use the information necessary for that purpose. We may aggregate, pseudonymise, or anonymise data in order to reduce possible risks. We also create groups of customers with similar characteristics or behaviour. We can then tailor our service and offerings to those groups.
The legal basis here is the legitimate interest of Sales In Motion.
6. Whose personal data do we process?
We process personal data of our clients, for example because you have had direct or indirect contact with us. We also process data of contact persons and representatives of our business clients and suppliers.
7. How does Sales In Motion handle personal data?
Sales In Motion only records the personal data necessary for the relevant purpose. Sales In Motion also takes the required technical and organisational measures to protect your personal data against loss and unlawful use. Examples include logical access security, authorisation management, encryption of personal data, intensive monitoring of websites and infrastructure for security vulnerabilities, use of firewalls, and agreements with suppliers about information security.
Employees of Sales In Motion and any third parties who may gain access to data recorded by Sales In Motion are bound by confidentiality. Only authorised personnel may view and process data, and only to the extent required for the proper performance of their work.
In addition, we ensure appropriate security by using usernames, passwords, and control questions, and we invest in tools that protect both you and us against various forms of crime.
8. Retention periods
Sales In Motion does not retain your data longer than necessary for the purposes for which the data were obtained and further processed, unless the law requires us to keep them longer. For example, every business is legally required to retain its administration for seven years for tax purposes.
The retention period used by Sales In Motion may differ per purpose and also depends on the nature of the data. After the retention period expires, your personal data are deleted or anonymised in such a way that they can no longer be used or accessed. Anonymised data may only be used after that point for historical, statistical, or scientific purposes.
9. Your rights. How can you view, amend, or complain about your personal data?
You may submit a request to us for access, rectification, restriction, or deletion of the personal data we process about you. You may also object to Sales In Motion processing your data or request transfer of your data. This also applies when you have given Sales In Motion consent to process your personal data and wish to withdraw that consent.
Sales In Motion will respond to your request as soon as possible, and no later than within one month. We will inform you how your request is being handled and what the outcome is.

You may also tell us that your personal data may not be used for marketing activities or withdraw previously granted consent for the use of your email address. In addition, you can always unsubscribe from commercial email messages from Sales In Motion via the unsubscribe link in the message itself.
10. Sharing data with third parties
We only share data with third parties when necessary. For example, when this is required for Sales In Motion to provide its services, to combat insurance fraud, or when required by law or regulation.
10.1 Fraud prevention and legal obligations
Personal data will only be provided to supervisory authorities, tax authorities, and investigative
authorities where we are legally required to do so. In all cases, Sales In Motion will take
appropriate measures to ensure confidentiality and security of the data as far as possible.
10.2 Supporting services
To deliver our services, we use third parties such as IT suppliers, social network providers,
marketing agencies, credit card companies, and screening services. We make proper agreements with
such parties before sharing any data with them. They are obliged to protect the data and may only
process them in accordance with our instructions.
10.3 Transfers to other countries
Sales In Motion may transfer personal data to other countries. We only do so if this is necessary
for our services or if we are required to do so by law or regulation. Not all countries provide
the same level of data protection. Where necessary, Sales In Motion will ensure appropriate
safeguards are in place before data are transferred.
10.4 Other websites
The Sales In Motion website may contain hyperlinks to third-party websites. Sales In Motion cannot
be held responsible for the way those parties handle your data. Please read the privacy statement
of the relevant site where available.
11. Data breaches
A data breach is a breach of the security of personal data. Sales In Motion is required to report a data breach to the Dutch Data Protection Authority within 72 hours and, where applicable, to the persons whose data are involved and/or who use the data. This obligation does not apply if it is unlikely that the breach poses a risk to the rights and freedoms of the individuals concerned. Data breaches are always recorded and assessed internally by Sales In Motion. For each case, it is determined which action is necessary to limit risks for those involved as much as possible.
It is important that all data breaches involving personal data processed by Sales In Motion are reported to and assessed by Sales In Motion so that action can be taken. You can report data breaches via info@salesinmotion.nl, or to our data protection officer or management.
